Reservation Policies, Terms, And Conditions
Deposit Policy
Reservation(s) require a deposit equivalent to fifty percent (50%) of accommodation with taxes to secure each booking on a definite basis. The remaining balance will be charged at check-in at the property.
Cancellation Policy & Penalty: If you cancel within the specified cancellation policy periods, you forfeit the full deposit amount.
- Period 1 (Dec 20, 2025, To Jan 02, 2026) and (Dec 20, 2026, To Jan 02, 2027): 21 days prior to the arrival date
Cancellation Penalty: Travelers who cancel 21 days or more before 18:00 BOT on the day of check-in are charged no fee.
Travelers who cancel less than 21 days before 18:00 BOT on the day of check-in (including no-shows) are charged 50% of the booking amount
- Period 2 (Jan 03, 2026, To May 10, 2026) and (Jan 03, 2027, To May 09, 2027): 14 days prior to the arrival date
Cancellation Penalty: Travelers who cancel 14 days or more before 18:00 BOT on the day of check-in are charged no fee.
Travelers who cancel less than 14 days before 18:00 BOT on the day of check-in (including no-shows) are charged 50% of the booking amount.
- Period 3 (May 11, 2026, To June 30, 2026) and (May 10, 2027, To June 30, 2027): 7 days prior to the arrival date
Cancellation Penalty: Travelers who cancel 7 days or more before 18:00 BOT on the day of check-in are charged no fee.
Travelers who cancel less than 7 days before 18:00 BOT on the day of check-in (including no-shows) are charged 50% of the booking amount.
- Period 4 (July 01, 2026, To Aug 31, 2026) and (July 01, 2027, To Aug 31, 2027): 14 days prior to the arrival date
Cancellation Penalty: Travelers who cancel 14 days or more before 18:00 BOT on the day of check-in are charged no fee.
Travelers who cancel less than 14 days before 18:00 BOT on the day of check-in (including no-shows) are charged 50% of the booking amount.
- Period 5 (Sept 01, 2026, To Oct 31, 2026) and (Sept 01, 2027, To Oct 31, 2027): 7 days prior to the arrival date
Cancellation Penalty: Travelers who cancel 7 days or more before 18:00 BOT on the day of check-in are charged no fee. Travelers who cancel less than 7 days before 18:00 BOT on the day of check-in (including no-shows) are charged 50% of the booking amount.
- Period 6 (Nov 01, 2026, To Dec 19, 2026) and (Nov 01, 2027, To Dec 19, 2027): 14 days prior to the arrival date

Travelers who cancel less than 14 days before 18:00 BOT on the day of check-in (including no-shows) are charged 50% of the booking amount.
No Show Policy: At Bay Gardens, we take great care in preparing for each guest’s arrival to ensure a seamless and memorable stay. To confirm your reservation, a deposit is required at the time of booking.
If you do not arrive on your scheduled check-in date and fail to notify us in advance, your reservation will be marked as a no-show, and the following will apply:
- Your deposit will be forfeited in full.
- The room will be released for resale, and rebooking will depend on availability and prevailing rates at the time of request.
We understand that travel plans may change, and we kindly ask that you inform us as soon as possible if you are delayed or unable to arrive as planned. Our team is always here to assist with any adjustments to your booking.
Early Departures: We understand that travel plans may change unexpectedly. Should you decide to check out before your scheduled departure date, please note the following:
- Your deposit will be non-refundable.
- If your stay exceeds the value of your deposit, an additional charge equivalent to one night’s accommodation will apply.
Group Bookings: Any group booking of a minimum 10 PAID or more rooms arriving and departing on the same day must be made on a request basis only. 25% of total room cost is required upon confirmation of a definite group block to secure the rooms. The deposit MUST be received no later than TWO WEEKS after confirmation is received, another 25% of the remaining balance TWO MONTHS prior to the arrival date and the balance payable ONE MONTH prior to the arrival date at the property.
Hurricane Guarantee - Bay Gardens Resorts
Although St. Lucia is not known for being in the path of hurricanes, we want our guests to feel confident that their vacation dreams will not be ruined, should the unlikely occur. Bay Gardens Resorts’ commitment to total guest satisfaction allows guests to confidently reserve a vacation knowing that in the unlikely event of a hurricane their stay is valid for another time. Should the island of St. Lucia experience a hurricane*, Bay Gardens Resorts will guarantee that guests of the Bay Gardens Beach Resort & Spa, the Bay Gardens Hotel, and the Bay Gardens Inn are rescheduled for alternate dates. This guarantee applies to the land package as was originally booked. This policy is applicable to leisure reservations and groups as stipulated in their contracts.
The following terms and conditions apply:
The rescheduled dates must fall within one calendar year. Reservations for comparable accommodations will be made pending available space. Blackout dates will apply (as determined in our sole discretion).
Any commission owed to travel agents will be paid on the stay interrupted by the hurricane. The guarantee offered by Bay Gardens Resorts is subject to change at the discretion of the operator at any time without notice. Guests holding confirmed and fully deposited reservations (that are within the non-refundable deposit window) that are unable to travel to the resort due to a hurricane*, closing of the St. Lucia airport or closing of Bay Gardens Resorts will be given the option of a full refund or a rescheduling of their vacation, based on space availability, to Bay Gardens Resorts within one calendar year.
*A hurricane is defined/validated by the National Hurricane Center, typically a tropical cyclone in which the maximum sustained surface wind is 74 mph (64 knots) or greater. Rates confirmed in USD are guaranteed in U.S. dollars when paid in U.S. cash or traveler’s checks. Payments made by credit cards at the hotel will be charged in the local currency equivalent based on the daily exchange rate used by the hotel. Currency conversions by banks or credit card companies in processing payments are not within the control of the hotel and are subject to exchange rate fluctuations.
